Q If your service is really is completely free, how do you make your money?
A Our service is funded by the venues, paying commission to us as they would a travel agent, so it allows us to offer it as a free service to our clients.
Q Doesn’t this mean the venues quote you higher rates than us?
A Absolutely not. With our buying power, experienced staff, contacts and negotiating skills, we get the very best rates possible. Venue rates are not fixed or set-in-stone, so we negotiate the very lowest rates EVERY TIME. When you use Complete Event Solutions, we guarantee that you will never pay more and it is our stated mission to ensure that you pay less.
Q Is there any commitment once I have given to you a brief to find us a venue?
A None whatsoever. We hope you will decide one of the venues we find for you will be ideal. However, if you decide not to take any of our recommendations, you are free to book any other venue you wish.
Q Do you affect my relationship with the venues I use?
A No. When you have decided on your preferred venue and we have issued you and the venue with a confirmation, you can communicate direct, contract direct and pay direct. It is just as if you had booked it yourself. We do not affect any other part of the process. We actively encourage you to liaise with the venue leading up to your event.
Q Do you make a charge if we have to cancel our event or change the dates?
A No, as we do not affect the contract that each venue issues, you are free to do anything you wish within the terms of that contract.
Q Do I have to have a minimum event spend or minimum number of delegates attending to use your venue-finding service?
A No, we book interview rooms for two or product launches for 2000. They are all as important as each other to us. You can use us once a year or once a day. There is no minimum useage of our service.
Q Once I've given you a brief, how long will it be before you come back to me?
A Our service levels state that for a named venue it is one hour, for a UK event 24 hours and for an overseas event 72 hours.
Q How much detail do you need before you can start?
A The more information you give, the better, as we want to ensure the venues we suggest and the information we send you is totally accurate and suitable but if you do not have the full details as yet, we can work on the information you have.
Q Are you restricted in which venues you can book?
A Absolutely not. We can book any venue anywhere in the world.
Q I hear that some agencies are biased towards certain hotel groups and venues as they get more commission. Is that true?
A Absolutely but we have always stated we would not work on that basis, so we get the same commission from all venues, which allows us to recommend the venues that suit the client rather than suit us.
Q Do you just book hotels?
A No, we work just as closely with conference centres, museums, universities, management training centres, sports stadiums and all other types of venue. There are no restrictions whatsoever.
Q What other help can you give me with my events?
A We can arrange venue visits (accompanied by us if you wish), entertainment, team-building activities, travel arrangements, spouse activities, delegate registration, badges, set-design, themed parties. In fact whatever logistical help you need to organise your events, however large or small, we can provide a service to suit you.
Q Can I brief you and other agencies for the same booking?
A Regrettably we cannot work on events where more than one agency has been briefed as this is unnecessary because we would be contacting the same venues and this causes confusion. We will be putting forward the very best venues at the very best rates, so you do not need to brief any other agency.
